Importing Documents

Any time you create an electronic document outside of FACTS regarding your client, you always import the electronic document into the client=s case, intake or provider file cabinet in FACTS. The FACTS record is the client=s record, so it would be incomplete without the electronic document.

 

  1. Create a document or edit an existing document in WordPerfect and save it to your local hard drive, disk, or Y: drive (something like c:\myfiles\document.wpd). Other document formats can also be imported into FACTS, but may not be able to be viewed if the program is not loaded onto the PC (ex. Word).

 

  1. Open FACTS and access the case in which you want to save the document. Click on the File Cabinet toolbar button. You=ll see a "Staff" toolbar button and a "Case" toolbar button. Click the Case toolbar button, which accesses the case file cabinet.

 

  1. There are tabs which represent different divisions within the case file cabinet: General, Client, Court, Treatment and Placement. Click on the tab which you feel best represents the document you=ve created.

 

  1. Click the Import command button. In the Type picklist, select the most appropriate description such as WordPerfect, in the Name text area either type the full name of the document (including path information i.e., c:\myfiles\document.wpd) or click the Select command button which accesses a standard Windows select file dialog box that allows you to navigate to the file (this is helpful if you can=t remember the exact path or the exact filename).

 

  1. Finally, type a description of the document in the Description text area (remember, anyone that can access the case can access your document and its= description so try to be as descriptive as possible while remembering that the FACTS record is the client=s record and subject to discovery, it is recommended that dates be put in the description area).

 

  1. Click on the OK command button.

 

FACTS will store a copy of your document in the Case file cabinet area where it may be accessed using the View command button.

 

You may or may not want to delete the original document from your hard drive or disk, it=s your choice.
